Close payroll faster; employees confirm their own payslips

Each month you create a pay period and hOne calculates every payslip from approved attendance, allowances, overtime, insurance and tax. After approval the payslips go out by email, and employees agree or dispute right there.

The problem

Spreadsheet payroll is easy to get wrong and hard to explain

Every month accounting merges the timesheet, overtime requests, allowances and tax formulas into one file. One bad cell skews the whole sheet, and when an employee asks, it is hard to show where a number came from.

  • Attendance, leave and overtime live in different places and are merged by hand each month.
  • Insurance and income tax formulas change with the law, and old files fall behind.
  • Payslips sent over Zalo or printed: no way to know who saw them and who agreed.
How hOne solves it

One pay period, one source of numbers

Pay uses the approved attendance days, approved leave and overtime, plus each person's allowances and pay policy. Overtime multipliers, insurance rates and tax brackets are stored as versions with effective dates, so a rule change does not alter past periods.

Key capabilities

Monthly pay periods

Create a pay period covering one full calendar month and enter the payment date. Statuses: Draft, Processing, Approved, Paid.

Automatic calculation

Press Calculate: hOne takes approved days, base salary, allowances, overtime, bonus, social, health and unemployment insurance and progressive income tax. People without approved attendance are listed for follow-up.

Flexible pay policy

Choose how lateness is deducted (none, penalty tiers or actual worked hours) and whether allowances are prorated by days. Committed salary or company-paid insurance can be set per company, department or person.

Manual edits with a trail

Open a payslip to add or edit earnings and deductions. Manual items carry a Manual tag with a reason and are kept when you recalculate.

Approve and lock

After Approve, payslips are locked. To change anything you Reopen the period with a reason. A paid period can only be reopened by a senior admin.

Email payslips

Send a whole period or single payslips, with an Agree link that needs no login. Employees view theirs on My payslips, and HR downloads each as PDF.

Acknowledge and dispute

Each payslip is Pending, Agreed, Auto-agreed (after 7 days without a reply) or Disputed. HR answers disputes in the Disputes view.

Bank file and commissions

Export a batch bank transfer file after choosing a bank template and a source account. Approved sales commission statements are added to the payee's payslip.

How it works

  1. Set up pay and profiles

Enter base salary and allowances for each employee, and the Payroll settings: overtime multipliers, insurance rates, tax brackets. A button creates the default configuration based on current regulations.

  2. Create the period and calculate

Go to Payroll → Payroll processing, press Create pay period, select employees and Calculate. People who already have a payslip are skipped; use Recalculate to rebuild.

  3. Review and approve

Check each payslip, adjust what is needed, then Approve. The payslips are locked from that moment.

  4. Send and pay

Email the payslips, export the bank transfer file, then Mark as paid with the payment method and reference.

A real workflow

Closing September payroll for Company ABC

Ha is the accountant and runs payroll for 25 employees after Lan in HR has locked the month's attendance.

  1. HaCreates the period September payroll with a payment date of 05/10, then presses Calculate for all employees.
  2. hOneFinishes 23 payslips. 2 employees are skipped because their attendance is not approved, and they are listed in the processing result.
  3. HaAsks Lan to approve those two, calculates again for them, checks the payslips and presses Approve on the period.
  4. HaPresses Send payslips. Each employee receives an email with earnings, deductions and an Agree link.
  5. MinhNotices one overtime session is missing, opens My payslips and disputes the Overtime pay item with a reason.
  6. HaReplies in Disputes. If a fix is needed she reopens the period with a reason, edits the payslip and approves again. Minh confirms the new payslip.

Frequently asked questions

Which regulations do income tax and insurance follow?

When you create the default configuration, hOne loads the progressive tax brackets, social, health and unemployment insurance rates and caps per current regulations. Each has an effective date so you can update it when the law changes. Have your accountant check it before the first pay run.

Does hOne transfer the salaries itself?

No. hOne exports a batch transfer file (choose a bank template and a source account) for you to submit to the bank, and then you Mark as paid in the pay period.

How do employees agree to a payslip?

They press the Agree link in the email, no login needed. With no reply after 7 days it is auto-agreed. To dispute, they log in to hOne, open My payslips and pick the items they disagree with.

Can I still edit after approval?

Approved and paid payslips are locked. You Reopen the period with a reason. A paid period can only be reopened by a senior admin who confirms they will reconcile the amount already transferred. If the numbers change, employees must acknowledge again.

Does it handle sales pay and commissions?

Yes. Approved sales commission statements are added to the payee's payslip, and the Sales pay configuration lives in Payroll settings. Task KPI scores can become a bonus or penalty if your company chooses to apply them.

What period does a pay run cover?

One full calendar month, from the 1st to the last day. You set the payment date separately for each period.
