Know who worked where, and close the month without chasing

Employees check in on the hCheckin app or the web, with a photo and location. At month end you review the timesheet, fix odd days, approve and lock it. The approved days are the days payroll uses.

Key capabilities
The problem

The month-end timesheet is always a hunt through records

Paper logs, spreadsheets or a machine at the office are hard to verify once people work in the field. Accounting checks every day by hand, and the pay still gets disputed.

  • Staff visit customers or work on site, so an office clock-in machine is no use.
  • Forgotten check-outs, buddy punching, remote punching: hard to tell which days to trust.
  • Leave and overtime requests live somewhere else and are merged into the timesheet by hand.
How hOne solves it

One timesheet as the single source for payroll

hOne records each check-in and check-out with its photo, coordinates and method (GPS, WiFi, office zone or manual). Leave, overtime and business trips flow into the timesheet. You approve and lock the month, and payroll uses exactly the closed numbers.

Key capabilities

Dual photo with location stamp

In the hCheckin app the rear camera shoots the workplace and the front camera takes a selfie. Coordinates, address and time are printed on the photo. Switch it on or off in Check-in settings.

Offices, radius and WiFi

Define offices with a radius in meters and the company WiFi. You can turn on auto check-in and check-out when staff enter or leave the office zone, or connect to or leave the WiFi.

Face recognition

Upload a reference photo per employee, then switch recognition on. Choose Must match (blocks check-in on a mismatch) or Log only.

Fewer ways to cheat

Set a maximum length per session and a GPS accuracy threshold. hOne flags a record as suspicious when it detects a fake location.

Routes and business trips

GPS routes are recorded only during work hours and stop at check-out. Business trips have a request, approval, on-site photos and a route.

Monthly timesheet

One row per employee: worked days, late, absent, overtime, leave, business trips. Warning flags for missing check-in, forgotten check-out and short days. Export to Excel or CSV.

Approve and lock

Approve per person or for the whole month, then Lock month. Unlocking needs admin rights and a reason, kept in the approval history.

Work schedule and holidays

Set working days by weekday, half days or alternate Saturdays, and manage holidays. People who do not need to check in get an attendance exemption for a date range.

How it works

  1. Set up offices and schedule

Go to Admin → Attendance: add Offices (location, radius, WiFi), Work schedules and Holidays, then pick the options in Check-in settings.

  2. Employees check in

Open the hCheckin app (or press Check-in on the web), take the photo and send. When offline, the app stores the record and syncs to hOne later.

  3. hOne reminds and summarizes

A forgotten check-out triggers a reminder after the delay you set. Sessions left open too long are closed and flagged. The Attendance page shows who is present, late, absent, on leave or on a trip today.

  4. Approve and lock the month

Resolve the warnings in the timesheet, correct days with a reason, approve and lock. Payroll is only calculated for people whose attendance is approved.

A real workflow

Closing the month for a sales team

Company ABC has a sales team that often visits customers. Lan runs HR and closes attendance each month in hOne.

  1. Minh (employee)At 08:10 he checks in with hCheckin at the office: dual photo, GPS inside the radius, company WiFi with the right BSSID.
  2. MinhOn Wednesday he visits a customer across town and sends a business trip request. Once approved he starts the trip, and the app records on-site photos and the route.
  3. hOneHa forgot to check out. The app reminded her, but the session stayed open, so hOne closed it and flagged Forgot check-out. No overtime is counted for that day.
  4. Lan (HR)Opens Attendance → Monthly timesheet and sees warnings on 2 employees. She opens each day, corrects the check-out time and writes a reason into the approval history.
  5. LanPresses Approve month, then Lock month. From now on accounting can run payroll for the whole team.

Frequently asked questions

Can employees check in without the app?

Yes. The Attendance page on the web has a clock and Check-in and Check-out buttons. Dual photos, auto check-in by location or WiFi and route tracking belong to the hCheckin app.

Does hOne track employees outside work hours?

No. Route tracking only runs after check-in and stops at check-out or at the end of work hours (when Track only during work hours is on). You also choose who can see presence status: Admin only, Managers and team, or everyone.

What about buddy punching or fake locations?

hOne reduces the risk but cannot remove it entirely. It offers dual photos, face recognition (if enabled), WiFi BSSID matching, a GPS accuracy threshold and a suspicious flag when a fake location is detected. The person approving attendance decides on flagged records.

Is overtime calculated automatically from check-ins?

You can turn on Auto-create overtime requests with a minimum number of minutes. The requests still need approval. Sessions closed by the system after a forgotten check-out do not count as overtime.

Can I edit a locked month?

Not directly. Unlocking needs admin rights and a reason; then you fix the days and approve again. If the pay period is already approved, reopen the pay period first.

Do I need to buy a fingerprint or card clock machine?

No. Attendance comes from the hCheckin app, the Check-in button on the web, or an admin entering it for someone with a reason. You do not need separate hardware.
