Tree-shaped KPI templates
A template has a year, a period type (such as Q1, T3, H1) and a parent-child tree of KPI items. Each item has a weight %, unit, target, quantitative or qualitative. Clone a template for the next period.
Build weighted KPI templates, open an evaluation round for staff to self-score and an admin to review. In the same place: policy documents with read confirmation, two-step penalty tickets and award tickets tied to department budgets.
Every review period the Excel file goes out by email, comes back and is merged by hand. Once a company rule is issued nobody knows who read it, and penalties and bonuses are recorded in scattered places.
The KPI side follows one chain: KPI template, assignment, evaluation round, self-evaluation, review, confirmation, with some metrics pulled automatically from hOne data. The policy side covers approved documents with read confirmation, work rule settings, and penalty and award tickets with approval flows.

Assign a template to a whole team or department, or to some individuals only. hOne lists the employees it applies to so you can check before opening a round.
Each item is manual, automatic or hybrid. Automatic metrics include task completion rate, on-time rate, attendance rate and collected revenue before VAT.
Create a round from a template with a date range; statuses are Open, In review, Closed. Staff self-evaluate, an admin enters manager scores, sees where values differ from the system, then confirms.
A quantitative item = actual divided by target x 100, capped 0-100; a qualitative item uses the manager score. Tiers: Excellent from 90, Good 70-89, Pass 50-69, Needs improvement below 50.
A document has a number, category, effective dates, content and attachments. Flow: Submit, Approve or Reject, Archive, with version history. Visible to all staff or only to certain teams.
Turn on read confirmation with a due date; staff press Confirm read and hOne stores the date. The overview shows a compliance rate by category.
Penalty tickets carry evidence and two approvals (manager, then HR). Award tickets follow department, quarter and budget warnings. Approved tickets are deducted or added in payroll.
An admin creates the template, adds KPI items and weights (the system checks the weight total), picks manual, automatic or hybrid data, assigns it to teams or individuals and activates it.
Create a round for the period. Staff open Self-evaluation and enter actuals and scores; automatic items show the value the system computed.
Move the round to Review, enter manager scores and comments, confirm each person or everyone, then Close and wrap up. The KPI overview shows the score distribution and top performers.
Create a document, submit it for approval, publish it and track who has confirmed. When a violation or achievement comes up, raise a penalty or award ticket and send it through approval.
Demo Store uses KPI for the Sales team. Lan is the admin and HR; Minh is a salesperson.
Administrators create and activate templates, assign them, open rounds, enter manager scores and confirm. Employees use Self-evaluation to fill in their part and see the results of an open round.
Scores from KPI evaluation rounds do not go into payroll automatically. Approved penalty and award tickets are applied when the matching payroll period runs.
Six: task completion rate, on-time completion rate, attendance rate, collected revenue before VAT, customer response score and the number of times a customer waited too long (the last two apply when AI is off). For anything else, enter values by hand.
For hybrid items the employee enters their own actual value and the system shows the value it calculated. The review screen flags where the two differ so the admin can decide before confirming.
People with the right raise a penalty ticket, which then goes through manager and HR approval. You can define fines by minutes late in the work rule settings to use as a reference.
